Billed and collected are two different numbers
Most gyms track one figure: money in the drawer. But the number that tells you whether the business is healthy is the gap between what you billed and what you actually collected. FitYantra shows both, side by side, along with the outstanding total and the list of members who still owe.
Take payment however members pay
Record each payment against a bill with its method — cash, eSewa, Khalti, bank transfer, card or other. At the end of the day you can see how much came in through each, which makes reconciling your eSewa and Khalti statements a matter of minutes.
- Part payments are normal: a member pays Rs 1,000 today and the rest next week, and the bill shows what is left.
- Overpayments become credit on the member's account instead of being refused, and are used on their next bill.
- Money on account can be taken before a bill exists, for members who pay in advance.
- Receipts carry your gym's name, code and address, the bill, and the member's running balance.
VAT, done the way Nepal requires
Whether you charge VAT depends on whether your gym is VAT-registered, so FitYantra makes it a switch, not an assumption. With it off, bills carry no tax line — a plain PAN bill. With it on, bills carry 13% VAT and your PAN is printed on them.
- VAT is always shown as its own line, separate from the taxable amount, even when your price list quotes a VAT-inclusive price.
- Discounts reduce the taxable amount before tax is calculated, so you never pay VAT on money you did not charge.
- Each bill keeps the rate it was issued at, so changing a setting later never rewrites old bills.
Frequently asked questions
Does FitYantra collect payments through eSewa or Khalti?+
FitYantra records payments your gym has received by eSewa, Khalti, cash, bank transfer or card, so every rupee is accounted for against the right member. The payment itself still happens in the member's wallet or at your desk.
Can I use FitYantra if my gym is not VAT-registered?+
Yes. VAT is off by default for that reason. Bills are issued without a tax line until you turn VAT on in your gym's settings.
Who can delete or void a bill?+
Only people whose role allows it. Taking payments and voiding receipts are separate permissions, so the front desk can take cash all day without being able to make a receipt disappear.
