QR attendance for gyms: how it works and why it pays for itself

Gym attendance in Nepal is usually one of three things: a register book at the counter, a fingerprint machine, or nothing at all. Each has a problem. Registers are skipped at busy hours. Fingerprint machines cost money, break, and struggle with sweaty hands. And without any record, you cannot tell a loyal member from one who stopped coming a month ago.

How QR check-in works

The gym displays a QR code — usually a printed poster by the entrance. Members scan it with an app on their own phone. The system looks up their membership, and either records the check-in or refuses it if the plan has expired. A second scan on the way out records the check-out.

Because the member's own phone does the scanning, there is no hardware to buy. The poster costs as much as a print-out.

QR vs fingerprint

  • Cost: QR needs a printed poster; fingerprint needs a device per entrance, plus replacement when it fails.
  • Membership check: a QR system connected to your membership records can refuse an expired plan instantly. Many standalone fingerprint machines only log a time.
  • Member experience: members also see their expiry date and history in the same app.
  • Drawback: members need a smartphone. For the few who do not, the front desk can record the visit.

What it pays for

Suppose ten members out of two hundred are training on expired plans at any given time — easy to miss without a check at the door. At Rs 2,000 a month each, that is Rs 20,000 a month of unpaid training. A system that refuses those scans automatically usually pays for itself in the first month, before counting the time saved on registers.

What to look for

  • Check-in and check-out, so you know visit length and who is inside.
  • Automatic refusal of expired or missing memberships.
  • An attendance log you can filter by member and date.
  • Streaks and retention reports built from the same data.
